Job description – Office Manager, Operational Support | Core Operations
About the Role
The Operations Manager will be responsible for driving all operational and administrative activities across each of the segments. A key member of the management team and involved in all decisions related to the smooth running of FTI’s interests. The Operations Manager will be responsible for all management, overseeing and coordinating of Facilities, IT, Utilities, Legal administration and Insurance compliance. The Operations Manager will be the foremost owner of the relationship with FTI’s shared services, managing onboarding, coordinating training and acting as HR proxy where circumstances dictate. The Operations Manager will manage support staff, including Executive Assistants and office support staff, to ensure the needs of the Senior Management are always met effectively.
What You’ll Do
Financial Management
• Identify ways to control costs and generate savings in purchased and contracted services
• Review and approve (or seek approval) as necessary of all office overhead expenses
• Ensure that shared expenses are allocated accurately
• Obtain and manage petty cash in the local office
• Manage the setup of new client matters on Salesforce, and provide the invoice to the billing team at the relevant time
• Act as an interface between Finance and the local team in the distribution of credit cards for business travel
• Banking and payroll responsibilities – all ensuring records are kept up to date with housing loans
Facilities Management
• Serve as the primary onsite liaison with the office of the building
• Play a key role in business continuity planning
• Manage office and space assignments in conjunction with office segment leaders and in accordance with firm-wide policy
• Manage local service contracts in coordination with regional initiatives
• Provide local management of all facility related activities including but not limited to office relocation, build-out and consolidation in support of the Head of Corporate Real Estate
• Key contact for on call back-up for local office emergencies
• Maintain staff contact lists, building security card list and arrange security cards for new employees and visitors
• Responsible for fire warden and First Aid training to ensure compliance with DIFC
• Liaise with facility management vendors, including cleaning, catering and security services
HR/Office Management
• Actively communicate with and support segment leaders in the office
• Notify local office leadership and HR of all planned and unplanned absences, including parental leave, sickness and holiday
• Facilitate cross segment communication through office events and activities
• Coordinate cross practice activities (e.g. town hall meetings, annual holiday and summer activities)
• Provide as needed back-up support for office-wide projects
• Involved in the successful onboarding of new hires in the local office; working with the local HR and IT team to ensure that all new hires are set up correctly
• People management; 2-3 EAs and office support staff
• Coordination of training, CSR initiatives and benefits management
• Schedule bi-monthly leadership meetings, record the minutes and action as required
• Policy and process; create and implement a robust policy and process document in line with the DIFC
IT Management
• Service as the single point of contact for coordination of office-wide activities for IT
• Act as the escalation point for any IT related issues in the local office
• Accountable for mobile telecom provision and contract negotiation (with support from the IT team) in line with regional strategies
• Coordinate IT project delivery
• Act as the ‘IT Champion’ when new initiatives are introduced across segments
Legal
• Coordinate and compile responses for RFP’s and tenders as required
• Manage insurance certificates and other legal documentation and ensure the Legal team has up to date copies of the documents
• Escalate matters to Legal and local management as required – for example unpaid invoices
• Liaison and interface point between the local business teams and Legal
• Monitor compliance, ensure that engagement letters and other relevant documentation is signed and filed as required
• Legal administration, including renewal and maintenance of Trade Licence, establishment card and lease
General Operational tasks
• Schedule and coordinate internal and external meetings, coordinate client logistics and scheduling
• Improve operational management systems, processes and best practices
• Manage car parking space allocation at the office
Marketing
• Collaborate with the local Marketing Manager and be a general point of contact for Marketing related support as required
