Salary/Pay Range: $43,443 to $56,056 annually. Compensation will be commensurate upon experience and qualifications. This position is Exempt from the Fair Labor Standards Act (FLSA) overtime provisions.

Summary

The Finance and HR Professional is responsible for administering and supporting finance and administrative operations for budget, finance, accounting, procurement, reimbursement, and payroll for the Chemistry department. The position provides academic and business-related support for office administration, teaching, research, and outreach activities by creating systems and efficiencies and internal controls.

Essential Functions

The duties and responsibilities of the position include, but are not limited to:

Finance
• Responsible for fiscal operations of the department through understanding fund and business accounting principles and the tools, processes and procedures required to carry out this responsibility.
• Regularly monitor and reconcile financial statements for all department sources of funding ensuring there are no deficits and that all university procedures were followed. Create journal entries to balance and make corrections to all department funding sources if needed.
• Monitor department workloads by creating a report to document lecturer pay, faculty overloads, and student faculty pay to ensure that the department budget is adhered to. Use this report to enter payroll information for these department groups into the HCM system. Regularly reconcile financial statements to ensure all groups were paid the correct amount and from the correct source.
• Responsible for procurement of department goods and services by determining the most appropriate means available. Attend training, workshops, and review PSC website to maintain/update knowledge of purchasing procedures and processes as they update regularly.
• Responsible for processing all faculty, staff, student, and non-employee reimbursements for purchases and travel through the Concur system.
• Responsible for entering necessary documents to create new speedtypes for the department.
• Provide program support for research, mentoring, and training department faculty and staff in areas for which you are responsible.
• Assist international faculty hires by drafting the necessary forms and payments needed for required visas.
• Responsible for monitoring all department funding sources at fiscal year close to ensure all procedures are followed and no source is deficit.

Operations
• Department and office management (such as making room reservations, event planning, note-taking at meetings, preparing marketing materials, ordering exam copies, etc.).
• Maintain and support the Chemistry department by providing a front desk presence, to assist, support, and provide first contact for/to the department.
• Administrative liaison to the College of Letters, Arts, & Sciences, including the dean’s office.
• Managing processes and procedures for the department.
• Responsible for hiring lecturers to include contracts, faculty overloads, and additional pays for employees.
• Responsible for student employment management:
• Bi-weekly/ hourly pay
• Creating a student position
• Maintenance of records, audits, logs, late pay and terminations
• Other duties as assigned.

Qualifications
• Bachelor’s degree and experience in financial and business support, which includes financial tracking and reporting, is required. Progressive professional experience can substitute for a bachelor’s degree on a year-for-year basis.
• Experience with budgets, accounting, finance, payroll preferred.
• Experience working in higher education is preferred.
• Experience working with financial software is preferred.
