Position Summary:

The administrative side involves tasks such as managing office supplies, coordinating facility maintenance, handling travel arrangements, and ensuring the office operates efficiently. Key Responsibilities:

Human Resources Responsibilities:

  • Maintain accurate and up-to-date employee records including personal files, contracts, and attendance.
  • Assist with staff recruitment including posting job ads, scheduling interviews, and preparing offer letters.
  • Handle onboarding and exit processes for employees—collecting documents, conducting briefings, and ensuring all checklists are completed.
  • Monitor attendance, leave, and overtime records, and ensure accurate monthly updates for payroll.
  • Assist with preparation of HR reports such as headcount, absenteeism, and staff turnover.
  • Support the implementation of company policies and ensure staff are aware of procedures.
  • Assist in organizing staff training, health & safety programs, and employee welfare activities.

Administrative Responsibilities:

  • Manage office supply levels—stationery, pantry items, and cleaning materials—and reorder when needed.
  • Oversee office facility upkeep, including furniture, utilities, internet service, and minor repairs.
  • Maintain accurate logs of incoming and outgoing mail, courier services, and company assets.
  • Coordinate local travel bookings, hotel reservations, and staff transport arrangements.
  • Liaise with vendors, maintenance workers, and service providers for operational needs.
  • Ensure office premises are clean, organized, and safe for all employees and visitors.
  • Handle filing, photocopying, and general clerical support as needed by the management.

Required Qualifications:

  • A diploma or degree in Human Resource Management, Business Administration, or a related field.
  • Minimum 2 years of work experience in a similar HR or admin support role.
  • Familiarity with HR policies, basic labor laws, and personnel documentation practices.
  • Competent in using MS Office (Word, Excel, Outlook) and comfortable with maintaining digital records.
  • Clear communication skills in Tamil and English, both written and spoken.

  • Interaction with all departments across the organization and frequent communication with external suppliers.
  • This role involves desk work, but also physical handling of files, office supplies, and minor facility checks.
