Job description – Operational Assistant
• Vessel Coordination: Liaise with ship owners, masters, shippers, consignees, and notify parties to coordinate vessel arrivals, departures, and services.
• Customs Clearance: Coordinate with customs brokers and relevant authorities to ensure timely and accurate customs clearance procedures.
• Shipment Tracking: Monitor shipment statuses, track delivery schedules, and resolve any issues or delays during the shipping process.
• Stakeholder Communication: Maintain regular communication with internal departments, suppliers, freight forwarders, and customers to align import/export activities.
• Compliance Assurance: Stay updated on international trade regulations and ensure all shipments comply with import/export laws and company policies.
• Minimum: High school diploma or equivalent.
• Entry-level roles may require 1–2 years of experience in shipping, freight forwarding, or vessel operations.
• Familiarity with port operations, vessel scheduling, and customs clearance is highly advantageous.
• Knowledge of vessel documentation (e.g., Bill of Lading, manifest, shipping instructions).
• Familiarity with Incoterms and international trade regulations.
• Understanding of customs and port procedures.
• Basic knowledge of cargo stowage and loading plans.
• Strong organizational and time-management skills.
• Excellent communication and coordination abilities (with ports, shipping lines, and internal departments).
• Attention to detail and the ability to multitask under pressure.
• Coordinate vessel schedules with shipping lines and port authorities.
• Ensure timely loading/unloading of cargo.
• Prepare and verify vessel documentation.
• Communicate with customs, agents, and freight forwarders.
• Track vessel movements and report delays or issues.
• Maintain updated shipping logs and databases.
• Assist in resolving operational issues such as cargo damage or delivery discrepancies.
• Willingness to work in port environments or shift hours, especially in larger ports.
• Basic understanding of HSSE (Health, Safety, Security & Environment) protocols in maritime operations.
• Valid passport
